Microsoft Office Job Description/Summary: The HR Senior
Administrator provides general administrative support to the Talent
Acquisition department, and coordinates our Krakow-based internship
program. This position is part of a team that handles interview
scheduling, Workday application data entry, candidate
correspondence, and other administrative tasks related to
recruitment, as well as assists with recruitment for interns and
junior-level staff. Responsibilities: Candidate scheduling and
confirmation phone calls. Includes preparing copies of candidate
resumes and relevant interview documentation for Talent Acquisition
Partners and hiring managers. Collate and administer all changes in
Workday (Comments, status changes, interview scheduling, ready for
hire processing, etc) Format job descriptions and marketing
material in line with established standards Administer all internal
and external job postings in line with recruitment strategies. Do
periodic quality checks to ensure internal and external job
postings are in line with established standards (client website,
Linkedin, etc). Ensure Intranet and Internet are updated with
relevant recruitment materials and information Provide timely
correspondence to internal and external candidates advising on
status Manage timely communication with employee referrals and
referrers Generate and distribute routine Talent Acquisition
reports Prepare offer letters/employment contracts for Talent
Acquisition Partner sign-off Prepare new hire packages Distribute
offer letters/contracts and new hire packages to successful
candidates Initiate background check process with HRDirect. In
cases where follow up is required, liaise with candidates for
additional information Coordinate Krakow-based internship program,
and provide support of marketing and branding initiatives Ensure
that all information and collateral relating to opportunities at
this company are accurate, professional and positively impact the
reputation of the client Working with colleagues, Ensure that
timely and professional communications updating on the status of
applications are issued to candidates, employee referrals and those
who have referred employees Handle invoices from external search
firms and other vendors and ensure payment Charge individual
departments for services provided by external search firms
Qualifications/Skills: Relevant work experience or equivalent
certification Strong relationship management and interpersonal
skills with the ability to successfully collaborate with colleagues
Demonstrated customer focus and strong action orientation Possess a
high degree of confidence; be able to instill confidence in others
Ability to effectively interact with all levels of employees
Ability to think independently and creatively, and take ownership
of critical issues. Excellent organizational skills with a strong
attention to detail Ability to manage time, priorities and projects
Ability to manage multiple administrative tasks simultaneously
Ability to persevere and deliver results under challenging
circumstances Strong communication skills, both verbal and written
Proficiency with Technology : Workday, Microsoft Office Suite
