Benefits and HRIS CoordinatorPOSITION SUMMARYThe Benefits & HRIS
Coordinator is primarily responsible for executing the day to day
management in the development, implementation and maintenance of
the company's benefits programs including vacation/holiday/sick
time, health coverage (medical, dental, vision, disability
programs, flexible spending, life insurance, accidental death &
dismemberment, etc.), leaves of absence, retirement plans,
vendor/invoice management and wellness initiatives as well as the
systems upon which those benefits rely upon. The role assists in
crafting and executing strategies designed to keep employees
informed about company benefits, any proposed changes and helps to
ensure that programs are current with regard to trends, practices
and costs.RESPONSIBILITIES" Respond to employee benefit inquiries
including investigating disputes and/or discrepancies. Escalating
matters to health benefits broker as needed." Process benefit
changes with vendors including additions, terminations, and status
changes." Prepare and deliver educational opportunities through
various forums (email, webinar, etc.) designed to help employees
easily obtain information and better understand company benefits."
Manage benefits information on company SharePoint page providing
updates as needed." Conduct benefits orientation for new
hires/conversions, complete onboarding tasks (ex. inputting new
hires into applicable systems) in an accurate/timely fashion and
aid with self-enrolment system issues." Complete offboarding duties
(ex. COBRA enrolment) and provide support to terminated employees
regarding benefits continuation or termination." Serve as main POC
for employee, manager and vendor regarding leaves of absence.
Maintain tracker and improve upon internal process outline and
communication flow." Compile biweekly payroll changes and work
closely with Payroll to ensure changes are processed
appropriately." Prepare weekly/monthly reporting to internal (ex.
Finance) and external contacts (ex. wellness vendors)." Monitor and
reconcile vendor billing. Resolve administrative problems with the
carrier representatives." Maintain applicable databases and
employee benefit files." Uphold a working knowledge of federal and
state legislation influencing benefits." Prepare benefits reporting
requirements and ensure compliance/distribution of required
employee benefit notices." Conduct monthly/quarterly audits to
verify consist employee information across systems/vendors." Assist
manager in open enrolment preparation and execution including
gathering data to help determine plan design." Actively participate
in open enrolment sessions to counsel employees on available
options." Process and monitor tuition reimbursement programs as
well as other additional benefits (identity protection, pet
insurance, discount programs, etc.)." Coordinate workers'
compensation claims with third-party administrator and follow up on
claims as needed." Provide ongoing support to the broader HR team
(ex. global projects/initiatives) as needed." Other duties as
assigned.Desirable Experience/Skills/Qualifications" Ability to
juggle multiple tasks at a time and provide timely follow up." Must
be a detail-oriented, self-starter and work effectively in a
fast-paced environment." Ability to prioritize and execute tasks in
time-sensitive situations with an attention to detail." Excellent
listening, verbal and written communication skills." Ability to
maintain a high degree of confidentiality." Proficiency with
Microsoft Office Suite (most importantly Outlook, Word and Excel)."
Strong organizational skills and time management skills."
Familiarity with benefits and payroll software.Education:Associates
Degree in Human Resources, Business Administration or related field
(Bachelor's degree preferred) and a minimum of 2 years human
resources experience (benefits/HRIS experience preferred), or the
equivalent combination of education and applicable experience.
